Website & digital enquiries
TodayThe enquiry came in by WhatsApp. Half the address is in the chat, the rest in someone's head.
Most enquiries arrive as free text: an email, a phone call, a message. Someone retypes the details, creates the customer, looks for the right template. A website can take over that step — if it is the start of your workflow rather than a brochure.
Where it usually gets stuck
- Enquiries arrive as free text and have to be transferred by hand.
- Important details are missing and have to be chased.
- The website brings few enquiries because individual services cannot be found.
- Nobody knows which enquiry is currently with whom.
An enquiry written as free text is the start of manual work. Someone reads it, gathers the missing details, creates the customer and asks back when something is missing. That is a few minutes per enquiry that nobody invoices – and during which the enquiry sits still.
The second part is visibility. Someone searching for a specific service does not find a company description, but a page on exactly that subject. If that page is missing, the enquiry never arises in the first place.
What that looks like in the workflow
01 Inbox
Form, phone or message
Every route leads into the same inbox, with the same fields.
02 Capture
The details are complete
The form asks for exactly what the first work step needs – no more.
03 Assignment
Customer and case are created
The enquiry becomes a record, not a note in a mailbox.
04 Acknowledgement
The sender knows where they stand
Confirmation of receipt and who is responsible go out automatically.
What gets built
- A page structure in which every service is found under the words your customers actually use
- Forms that ask for exactly the details you need for the first work step
- One inbox for all enquiries, with date and ownership
- On request, WhatsApp and phone feeding the same inbox as the form
- Technical groundwork for search engines and AI answer systems, including structured data
What changes
- Enquiries arrive complete enough to work with straight away.
- An enquiry turns into a record you can carry on working with directly.
- It is visible which enquiry is with whom.
- Individual services get found, not just the company name.

Questions about Website & enquiries
Can we keep our existing website?
Often yes. If the structure holds up, we extend it with forms and connections. If it does not, we say so.
What happens to enquiries that come in by phone?
They can be captured through the same form, so that all enquiries end up in the same format.
Does every service really need its own page?
Every service that should be found, yes. Search engines and AI systems answer specific questions with specific pages, not with an overview.
